Collaborate in real time

We keep a live budget and a shared lesson plan in the same sheet. Invite the ops team and Amy the teacher to collaborate on the lesson plan tab and give them edit access, and tell them to use the comments for questions and to tag me for decisions. Before inviting, check the lesson plan tab has a changelog row and the budget tab is protected from edits by non-finance people.

Before I open this document to live collaboration, make it easy for unfamiliar teammates to join. Add a brief how-to note at the top explaining where to edit, where to comment, and how to restore a previous version; color the editable lesson-plan cells pale green and protect the budget cells; and create two example comments that show the tone and information we expect from reviewers.

I opened the sheet for Amy and the ops team; Amy immediately edited the budget table by mistake and left the lesson plan untouched. I need to get everyone editing the right sections without policing them constantly. Which protection and visual cues should I apply now, what short instruction do I send the group, and how do I recover if anyone overwrites a formula?

Across several shared documents, people repeatedly edit the wrong tabs, overwrite formulas, or leave comments instead of changing cells. I want a simple collaboration pattern that reduces these errors and keeps version history usable. What two sheet protections, one naming convention, and one daily routine do I implement to cut these incidents by half?
