I keep rebuilding consolidated working papers because colleagues send different versions. Across the last [N=15] conso…
Open Adobe Acrobat.
Go to File > Combine Files.
Click Add Files and select the PDF files you want to merge.
Arrange the files in your desired order by dragging and dropping them within the list.
Click Combine to merge the selected files into a single PDF document.
Save the new combined PDF to your preferred location.
You can preview and reorder files before combining to ensure the final PDF is in the correct sequence.
This runs in the Acrobat app - there is no separate API for this task.
Preserving bookmarks is important because it makes your combined PDF easy to navigate. Each original file becomes a top-level bookmark. This means you can quickly jump to different sections that were once separate files. It helps keep your large document organized and user-friendly.
If your source files already had printed page numbers, combining them will make those numbers restart with each new file. To fix this, you need to add continuous page numbers to the new combined PDF. You can do this after the merge by going to 'Tools' > 'Edit PDF' > 'Header & Footer' > 'Add'. Choose a continuous numbering style to override the old, restarting numbers.
| Feature | Combine Files | Insert Pages |
|---|---|---|
| Purpose | Merges multiple diverse files (PDF, Word, Excel, etc.) into one new PDF. | Adds pages from one existing PDF into another existing PDF. |
| Starting Point | Often starts from a blank 'Combine Files' window. | Starts with an open PDF where you want to add pages. |
| Flexibility | Good for creating a new packet from various document types. | Best for adding specific content into an already structured PDF. |
Combining files rarely shrinks their size; it often keeps the original file sizes or even increases them slightly due to new PDF overhead. If your combined PDF is too large, you should compress it after the merge. In Adobe Acrobat, go to 'Tools' > 'Optimize PDF' or 'Save As Other' > 'Reduced Size PDF'. This will help make the file smaller without losing too much quality.
