Redacting text with the 'Redact a PDF' tool permanently removes the information from the document. It is gone forever. Drawing a black rectangle only covers the text visually; the text is still underneath and can be copied or searched. This means the information is not truly hidden and can be easily found by others. Always use the specific redaction tool for security.
For many items like Social Security Numbers (SSNs) or account numbers, use the pattern-based auto-redaction feature. This tool can find and redact all matching patterns automatically. After it runs, have another person check a few random pages to make sure it worked correctly.
Using a consistent list of reason-codes helps everyone on a team understand why certain information was hidden. It makes the process clear and easy to follow. This is important for legal and compliance reasons, as it shows a clear process was followed and helps avoid mistakes or confusion later on.
