Shared Mailbox

A Shared Mailbox allows multiple users to send and receive emails from a common address.

    Access the Microsoft 365 Exchange Admin Center using an administrator account.

    In the left navigation pane, go to Recipients > Mailboxes.

    On the Shared mailboxes page, select + Add a shared mailbox.

    Enter a Name for the shared mailbox.

  5. 5

    Select Save changes.

    Under Next steps, select Add members to this mailbox.

    Search for and select the users you want to add as members.

    Best practiceEnsure every team member has the right permission level to avoid common setup issues.

    Select Add to grant access.

    Select Save changes to commit the new members.

To open a shared mailbox in Outlook, right-click your account name in the Folder pane and select 'Add shared folder or mailbox'.

Shared mailboxes can be managed and provisioned using PowerShell cmdlets in Exchange Online, allowing for automation of creation and member assignment.
