Participate in campus and community events

The campus invited our department to host a public panel on clinical ethics next Wednesday. Draft the announcement and run sheet for the event: list the five panelists, arrival and mic check times, where to park the visiting speaker, who brings the laptop and adapters, and confirm the post-event refreshments I approved. Send the final sheet to Events@campus.edu and copy Amelia Rivera, our department coordinator.

Before I share the panel run sheet with the venue manager, make the schedule easier to execute: put mic checks and AV needs in bold at the top, call out which panelists require visa letters or honoraria, flag any timing risks that could push the event past the room booking, and add one sentence volunteers can read to welcome the public.

The venue confirmed a smaller room than I requested two days before the public panel and staff say they cannot expand capacity. I am worried about turning away attendees and damaging department reputation. What immediate steps give us the best chance to preserve turnout and goodwill?

Over several semestral events I keep fighting last-minute AV problems, unclear volunteer roles, and guest travel hiccups. Where is the pattern most likely coming from, and which two preventative habits will stop most of these crises?
