Questions people actually ask

Most days you’ll process invoices, enter transactions into QuickBooks, and reconcile bank statements. That takes a few hours each morning to catch up on payments and receipts.

Afternoons often go to preparing adjusting journal entries, checking for errors in Excel spreadsheets, and reporting cash flow or expense summaries to a manager using Google Sheets or Microsoft Excel.

Start with QuickBooks and Excel. QuickBooks handles day-to-day transactions, invoicing, and basic financial records. Excel is where you clean data, build reconciliations, and create budgets or forecasts.

Learn Microsoft Access later if you need to manage larger databases or automate reports. Adobe Acrobat and Google Docs are useful for sharing PDFs and written reports.

Use AI for repetitive tasks only: e.g., extracting invoice data into Excel, flagging unusual transactions, or summarizing large bank feeds. Always keep the raw source (PDF invoice or QuickBooks entry) and compare AI output against it.

Do not let AI make final decisions about irregularities, tax calculations, or audit conclusions. A human should review anomalies, supporting documents, and legal rules before reporting or filing.

Pay varies by location and experience. In the U.S., entry-level bookkeepers often start near the lower end of the SOC range; check the Bureau of Labor Statistics (SOC 13-2011.00) or your local job boards for current hourly and annual figures.

Also look at sites like Glassdoor or PayScale for company-specific salaries and compare roles that require QuickBooks or tax prep experience, which often pay more.

Bookkeepers record daily transactions, process invoices, prepare financial records, and make adjusting journal entries. They use QuickBooks and Excel to keep books accurate and up to date.

Auditors and accountants review those records for accuracy, conduct transaction testing, prepare audit reports, and evaluate internal controls. Auditors do on-site or correspondence audits; accountants often handle tax strategy and forecasts.

Attention to detail improves your work fastest. It reduces errors in entries, catches irregularities or fraud, and makes reconciliations and audit testing far quicker.

Next most useful is Excel skill (pivot tables, XLOOKUP) for cleaning and analyzing data. Tax law knowledge matters when you prepare returns or advise on taxes, but you can learn basics on the job.
