The Forms Tracker is a tool in Adobe Acrobat that helps you manage your distributed forms. It is important because it shows you who has responded to your form and who still needs to. This allows you to easily see the progress of your form collection and send reminders to people who have not yet filled it out, ensuring you get all the information you need.
If you are sending a form to a large group, like 500 people, it is best to collect the responses on a server, such as SharePoint or a network drive, instead of your email inbox. Collecting to a server is much better for many recipients because it prevents your email inbox from becoming cluttered with hundreds of replies. It also scales better, meaning it can handle many more responses smoothly.
Acrobat creates a special 'filename_responses' Portfolio to help you. This Portfolio automatically collects and organizes all the answers you get back from your form. It keeps all the submissions in one place, making it easy for you to view and manage them later, especially when you want to export them as a single spreadsheet.
| Feature | Email Inbox | Server (SharePoint/Network) |
|---|---|---|
| Ease of Setup | Simple, direct to your email | Requires server access/setup |
| Scalability (many recipients) | Poor, can clutter inbox quickly | Excellent, handles many responses without clutter |
| Data Organization | Responses arrive as individual emails | Acrobat creates a 'filename_responses' Portfolio for all answers |
| Management | Can be hard to track all replies | Forms Tracker shows who responded, easy to send reminders |
