You can change text in a PDF by using the Edit PDF tool in Adobe Acrobat. This lets you click directly on text, make changes, and adjust formatting. If the document is scanned, you may need to use OCR first to make text selectable before editing.

  1. Open your PDF in Adobe Acrobat.
  2. Choose 'Edit PDF' from the right pane.
  3. Click on the text you want to change.
  4. Type your new text or adjust formatting.
  5. Save the file when finished.

To see differences between two PDF versions, use the Compare Files tool. This highlights text, formatting, or layout changes. It's useful for reviewing contract updates or tracking document revisions.

  1. Open Adobe Acrobat and select 'Compare Files.'
  2. Choose your older and newer contract PDFs.
  3. Click 'Compare' to see the summary report.
  4. Review highlighted changes page by page.
  5. Save or export the comparison report if needed.

If the PDF is from a scan, first use Optical Character Recognition (OCR) to make text selectable. Then, you can edit just like a digital PDF. This is helpful for digitizing paper documents and correcting errors.

  1. Open the scanned PDF in Adobe Acrobat.
  2. Choose 'Edit PDF' from the right pane.
  3. Acrobat will prompt to use OCR—click 'Yes.'
  4. Wait for text to become selectable.
  5. Edit the text as you need, then save.

You can insert a watermark and choose which pages it appears on using Acrobat’s watermark feature. Watermarks can provide copyright or status information for parts of a document, which is useful for Compliance Managers.

  1. Open your PDF in Adobe Acrobat.
  2. Go to Tools > Edit PDF > Watermark > Add.
  3. Enter text or image for the watermark.
  4. Set page range under 'Page Range Options.'
  5. Position and apply the watermark, then save.

If your PDF’s text can’t be selected, it may be a scan or image. Use Acrobat’s OCR tool to recognize text, making it selectable, so you can copy or edit as needed.

  1. Open your PDF in Adobe Acrobat.
  2. Choose Tools > Scan & OCR > Recognize Text.
  3. Select the pages and language.
  4. Click 'Recognize Text.'
  5. Now you can select, copy, and edit the text.

Adobe Acrobat offers more reliable editing, accurate formatting, and better security controls than most free tools. Free editors may lose fonts, layout, or may not handle complex PDFs well.

Editing a scanned PDF requires running OCR first so the text becomes editable, while a digital PDF can be edited right away. Scanned PDFs might have recognition errors, so proofreading is important.

Editing a PDF changes the main content, while filling a form only lets you type in specific fields. Editing is for correcting or updating documents; filling is for entering data in forms.

First, use Edit PDF Text to update contract terms or fix errors. Route For Approval can send the edited file to reviewers for feedback. Project Managers often do this before contracts are finalized.

  • Edit the contract using Edit PDF Text.
  • Double-check updates for accuracy.
  • Use Route For Approval to send for review.
  • Wait for feedback from approvers.
  • Finalize and save the approved contract.

Use the Share Review Links tool to create a review link for your PDF. Team members can add PDF Comments directly in Acrobat. This is useful for collaborative edits, especially for Technical Writers.

  • Open your PDF in Acrobat.
  • Click 'Share Review Links' to generate a link.
  • Send the link to your team.
  • Team members use 'Add PDF Comments' to give feedback.
  • Track and resolve comments as needed.

Use Manage Bulk Send Templates for applying changes across many PDFs. This saves time and keeps documents consistent. Sales Executives and People Operations Managers use this for large batches.

  • Create a master PDF template with your updates.
  • Go to Manage Bulk Send Templates.
  • Select the PDFs to update.
  • Apply the template to all selected files.
  • Review for accuracy and save.

Making text selectable lets you highlight, copy, or search text in a PDF, often after OCR. Editing text means you can actually change the words or formatting inside the document.

The Edit PDF Text tool lets you change, add, or delete text, adjust font and size, and move text blocks. It directly edits the visible content of your PDF, but doesn’t affect locked or protected sections.

Editing PDFs directly keeps the formatting, headers, and legal layout intact. Compliance Managers often need to make minor changes or add watermarks without risking document structure, which can happen if you convert and then re-save.

Some versions of Acrobat include AI tools for suggesting edits or correcting basic errors, but most editing is still manual. For important contracts or official documents, human review is recommended to catch context-specific issues.
