I have three scanned receipts with overlapping shadows and a missing merchant line. Clean up the scans, sharpen printed text, and produce a combined PDF of all receipts in chronological order for expense submission by [deadline=Friday].

Finance dislikes scans that hide merchant names. Improve the scanned receipts by removing shadows, enhancing contrast for the merchant lines, rotate and crop to the receipt margins, and include a one-line note identifying any data that could not be recovered and why, so approvers won’t reject the expense pack.

I scanned seven paper receipts after a site visit; three are partly unreadable and one lacks the merchant name. If I clean them aggressively I might be accused of fabricating evidence; if I ask the team to resubmit, I’ll miss the monthly cutoff. Help me decide: should I produce cleaned images with an attached affidavit explaining what I restored, submit what I have and chase originals later, or ask for reprints now and miss the cutoff? Describe the likely outcome with finance for each choice and recommend the route that minimizes audit risk while keeping our reporting timely.
when the reply comes backPush once: ask it to sharpen the weakest part, and to say what it assumed.

How to do it

the tool · the steps · what to avoid
  1. 1

Open the scanned PDF or image file in Adobe Acrobat.

  2. 2

Go to the Tools menu and select Recognize Text.

  3. 3

In the Recognize Text dialog, click Recognize Text and choose In This File.

  4. 4

Adjust language and page settings if needed, then click Recognize Text to start OCR.

Best practiceFor best OCR accuracy, scan documents at 300 dpi and ensure the image is clear and not overly bright or dark.

  5. 5

After OCR completes, select and copy text directly from the PDF, or use Export PDF to save as an editable format such as Word.

NoteYou can now search, select, and edit the recognized text within Acrobat.

After OCR, you can highlight, copy, or edit the text just like a regular PDF document.

This runs in the Acrobat app - there is no separate API for this task.

FAQ

about this task
  1. Open your PDF in Acrobat.
  2. Go to All tools > Scan & OCR.
  3. Pick your pages and language.
  4. Click Recognize Text.
  5. Save your new searchable PDF.

OCR stands for Optical Character Recognition. It is important for scanned PDFs because it changes pictures of words into real text you can search, copy, or edit. Without OCR, you can only look at the pages like photos.

  • OCR works best with clear scans.
  • If your scan is blurry or low quality, it may not find all the words.
  • Try to scan at 300 dpi or higher for better results.

Acrobat gives this message if your PDF page already has real text, not just an image. OCR is only for pages that are pictures, like scanned paper. If you see this error, you do not need OCR because the text is already there. Check your PDF: if you can select or copy words, it already has text.
