Before handing the spec to the [vendor=vendor], ensure defensible redaction: run a search for common PII patterns, remove or replace personal examples with anonymized placeholders, add a short cover note listing what was redacted and why, and lock the file with the [vendor] policy.

FAQ

about this task
  1. After you mark the content, click 'Apply'.
  2. Acrobat will ask you to sanitize the document. Choose to sanitize.
  3. Save the document. The content is now gone forever.
  4. Always check by trying to copy-paste or search the redacted area. If nothing appears, it worked.

Redaction permanently removes the text or image. It is gone from the file. Drawing a black rectangle only covers the text. The text is still underneath the rectangle and can be copied or searched. Redaction is safe; a black rectangle is not safe for private data.

Redaction removes only what you see. PDFs can have hidden data like metadata, layers, or old versions. Sanitize removes these hidden parts. This makes sure no sensitive information is left in the file, even if it's not visible on the page.

For many common types of private data, like Social Security Numbers or account numbers, Acrobat Pro has an auto-redaction tool. It can find patterns and mark them for you. After it runs, you should still have someone check a few random examples to be sure it worked correctly.
