The quarterly report layout needs proofreading by [deadline=Monday]. Share the InDesign proof link with copyeditors [copyeditor=Maria] and [copyeditor=Tom], ask them to focus on figures, tables, and the executive summary, and request tracked comments in the proofing tool before [time=Monday noon].

Executives scan only the executive summary and financials and hate multiple versions. Share the InDesign review link with CFO [approver=Dana] and the head of comms, make the executive summary and tables the first view, include a short list of the most consequential edits we still need, and ask them to confirm or flag only critical changes to avoid a second full review cycle.

Final numbers arrived late for the quarterly report and I can't delay publication. I'm torn between freezing layout now and allowing a last-minute table correction. Advise whether to lock the [file=InDesign file] and apply a standalone corrected PDF, or reopen the layout for a quick fix, explain trade-offs for print and digital distribution, and provide wording to ask reviewers to approve only the corrected pages.
when the reply comes backPush once: ask it to sharpen the weakest part, and to say what it assumed.

How to do it

the tool · the steps · what to avoid
  1. 1

Open the PDF document you want to share for review in Adobe Acrobat.

  2. 2

Select the option to share the document for review by clicking the Share button in the toolbar or right-hand panel.

  3. 3

Choose the method for sharing, such as selecting an option to invite people or generate a link for reviewers.

  4. 4

Enter the email addresses of your reviewers, or copy and share the generated link as needed.

  5. 5

Set any desired permissions or deadlines for the review process.

  6. 6

Send the invitation or share the link to begin the shared review.

Reviewers can add comments directly in the shared PDF, and you will see their feedback in real time within Acrobat.

This runs in the Acrobat app - there is no separate API for this task.

FAQ

about this task
  1. Open your PDF in Acrobat and click 'Share' at the top.
  2. Choose to share by public link or invite people by name or email.
  3. Send the link or invitations to your reviewers.
  4. Reviewers sign in, comment, and you get notified.

Share Review helps you collect all comments in one place, so you do not get many different files. This makes it easy to see and reply to feedback, and you do not have to combine comments from many copies by hand.

  • Make sure you set the link to 'public' or invited them by the correct email.
  • Ask if they are signed in to Acrobat, as required.
  • Check if the link was copied and sent correctly.

Tracking reviews with Share Review is easier because all comments from every reviewer appear in the same PDF file, and you get notified when someone adds feedback. With email, you would have to open many separate files and try to combine everyone's comments by yourself, which takes more time and can cause mistakes. Share Review keeps everything organized in one place.

If two people comment at the same time, Acrobat puts both sets of comments into the same PDF. You will see all comments together, and no feedback is lost.
