Prepare and mix compounds in labs

I must prepare and mix the pesticide formulation for the field trials scheduled Friday and need Sam the lab technician to review the mix notes and then get Anna, the lab manager, to sign off, reviewers in that order. Confirm concentrations, batch volumes, and safety SDS references, log lot numbers for each reagent, and record the final pH and temperature before sending the batch report.

Before I hand the batch to Sam for review, make the SOP summary easy to follow: put target concentration and tolerances at the top, list the exact reagent lot numbers and vendor certificates tied to this batch, note any substitution from the standard formula, and flag steps where QA will sample so reviewers know which results to expect.

While prepping the formulation for Friday trials I found a missing certificate of analysis for a critical solvent lot and Sam says procurement may be able to get it today but I do not know how quickly. If procurement cannot, we either delay the batch or accept a substitute with weaker documentation. What should I do to preserve safety and the trial schedule: hold the batch and escalate, or proceed with substitution and document the deviation?

We keep losing time because certificates of analysis arrive after scheduled mixes, forcing last-minute substitutions and delays. I cannot keep rebuilding schedules. What single habit should our lab adopt to stop this recurring hold-up, and give a concrete rule I can enforce with procurement and Sam next week.
