The four heights

The same task, four distances: today's deadline, the next reviewer, the stuck moment, the pattern.

Execute — do the immediate task

Convert the legal signature block and specialty logo to outlines for the export to the engraver, but keep the contact email and QR code as live text. Export the file as a print PDF by Friday and confirm the engraver can’t request font files after we send this.

Improve — make it easier to accept

Before I outline everything for production, make the job safe to revisit: outline only the logo marks and any proprietary wordmarks, leave the body copy and the address lines live, and add a note on the artboard naming which fonts were outlined and why so a repro tech can trust the file.

Decide — diagnose the stuck moment

The vendor says they need fonts embedded for etching.

The print vendor emailed saying they need embedded fonts for metal etching, but our legal requires wordmarks converted to outlines. I’m the studio manager and I don’t know whether outlining will break the vendor’s workflow. Should I send outlined wordmarks and ask the vendor to confirm tooling, or provide both outlined artwork and a separate font package under tight access? What do I tell procurement now?

Become — change the pattern

We over‑outline and then can’t edit later.

We repeatedly outline entire documents before production and later someone asks for copy edits, forcing rebuilds. I manage the studio and want a rule that balances production needs with editability. What routine should I adopt so files go to vendors in a way that avoids font requests but preserves future edits? Who should sign off and when?

Every task here came from the work, not from a feature list — which is why the prompts name what you want done and never the button that does it. The tool changes; the work does not.
