Share projects with collaborators

I need to hand this project to Maya and Leo so they can pick up the edit tomorrow. Send the project file, the current media cache, and the sequence markers to Maya first and then to Leo for review by 10am Friday. Before sending, confirm all linked media are online and consolidate any offline clips into the project. Include a short note about which sequences are ready and which need finishing.

Before I share this project with the colorist, make it dead-easy for them to start grading: surface the final deliverable sequence at top, list any LUTs used and camera metadata, export a trimmed project with only the used media, and flag mismatched frame rates or clips with effects that might not conform. Also call out any unresolved audio tracks that need stems.

I packaged the project and included proxies, but after zipping and sending, Maya says a clip is offline. I don’t know if the link broke during consolidation or if the clip lived on an external drive she doesn’t have. We have a 24-hour turnaround with the client. What likely happened and what’s the fastest way to get the collaborator a working project so the color pass isn’t delayed?

Handovers keep failing when I send projects: media paths break, collaborators open different versions, and we repeat relink work. I can’t keep babysitting transfers. What changes should I make to my export and folder habits so collaborators can open projects reliably and we stop losing time on relinking and missing media?
