Set board visibility

Set the Marketing Materials board visibility to Private today so only current team members can see it. Confirm visibility changed, list who will lose access, and flag any stakeholders who now need a direct export or screenshot before you make the change. Do this before I post the new creative at 4pm.

Before I switch the Marketing Materials board to Private, make the decision easy for the director approving this. Surface any guest users and external email addresses with access, show which published links or embedded boards exist, and summarize who will be blocked by the change and what minimal exports they will need to continue work without access.

I just set the Marketing Materials board to Private and the external vendor says they no longer have access. I’m worried the campaign stalls and I can’t reveal internal comments. I don’t know if I should temporarily restore Public, create a guest account for the vendor, or export and send files. Which option minimizes risk to deadlines and maintains confidentiality, and how should I explain the choice to the vendor and the creative director?

We keep toggling board visibility for client review periods and every time someone flips a board to Private or Public we get late requests, lost links, and frantic exports. I want one simple habit to prevent that scramble. What change in how we schedule reviews and handle external access will stop the visibility whiplash and be enforceable by project leads?
